Now Hiring: Office Administrator

We are seeking a highly organized Office Administrator to provide comprehensive administrative support to our organization. This role requires a strong attention to detail, excellent communication skills, and the ability to multitask effectively. The ideal candidate will be proactive, resourceful, and able to work independently.

Reports to: Executive Director

Salary: starting at $44,000 based on experience/annually, 40 hours/week

FLSA Status: Full-Time, Exempt

Key Responsibilities 

  • Executive Support:

    • Manage the Executive Director's schedule, including appointments, and meetings

    • Screen and prioritize incoming calls and emails

    • Prepare correspondence, reports, and presentations as needed

    • Assist with preparation of expenditure reports

    • Conduct research and gather information to support the Executive Director's initiatives

  • Office Management:

    • Oversee and organize general office operations, including maintaining office and kitchen supplies and equipment

    • Manage incoming and outgoing mail and packages

    • Coordinate office maintenance and repairs

  • Administrative Tasks:

    • Take accurate meeting notes and distribute them to relevant parties

    • Assist the Director of Finance with basic data entry and other accounting related tasks as needed (including use of QuickBooks Online)

    • Coordinate office events and meetings

    • Managing grants reporting calendar 

  • Additional Duties:

    • Provide support to other team members as needed

    • Assist with special projects as assigned

Preferred Qualifications

  • Proven experience as an Office Administrator or similar role (2+ years)

  • Strong organizational and time management skills

  • Proficiency in Google Workspace

  • Experience with QuickBooks Online a plus

  • Excellent verbal and written communication skills

  • Ability to work independently and as part of a team

  • Detail-oriented and able to multitask

  • Strong problem-solving skills

Education/Experience

  • Experience working in a non-profit or educational setting

  • Knowledge of project management 

Physical Requirements

Must be able to lift 30lbs in order to supervise and organize GOFM office storage

Schedule

  • Monday - Friday, 40 hours per week
